Help Article How to Stop Emails Going to Spam Folder
How to stop legitimate emails from going to your spam folder.
When legitimate business emails or messages from trusted senders land in your spam or junk folder (known as a “false positive”), it usually means the incoming mail server or your local email program misidentified the message based on automated filter rules.
You can easily correct this and ensure future emails from these senders arrive directly in your inbox.
1. Move the email out of your spam folder
The simplest way to train your spam filter is to manually move false-positive messages back to your main Inbox.
-
In Webmail (KonsoleH):
-
Log in to Webmail.
-
Select the spam bucket or junk folder in the left menu.
-
Drag the legitimate email and drop it directly into your Inbox folder. Alternatively, select the email, click More (the 3 dots icon), choose Move to, and select Inbox.
-
-
In Desktop & Mobile Email Clients (Outlook, Apple Mail, Thunderbird):
-
Select the email in your Junk/Spam folder and click Not Spam, Not Junk, or simply drag the email back into your main Inbox. This signals to your email app that the sender is safe.
-
2. Add the sender to your email contacts
Most email programs automatically trust senders listed in your personal address book. Adding regular correspondents, clients, or suppliers to your contacts list helps prevent their messages from triggering filtering rules.
3. Create a Whitelist or Safe Senders rule
If emails from a specific domain or address consistently go to spam, you can whitelist them:
-
In Outlook: Right-click the email in your Junk folder, hover over Junk, and select Never Block Sender or Never Block Sender’s Domain.
-
In Apple Mail: Open the email in your Junk folder, click Move to Inbox at the top of the message bar, and add the sender to your Contacts app.
-
In Webmail: Whitelisting rules can also be set up directly in your hosting control panel under your Email settings to ensure server-level delivery.
4. Check your custom filter settings
If valid emails are still being diverted, verify that you haven’t set up an overly strict keyword or domain filter rule in your email program or hosting control panel settings that might be flagging regular business correspondence.
